Planning Ahead: Trade Stands, Timing and the Power of Shared Preparation
Trade stand planning for shows: As one show season ends, planning for the next begins
Across show offices, teams are already reviewing notes, refining layouts and setting plans in motion for 2026. As a result, many are beginning early trade stand planning for shows and updating stabling layouts. For organisers, the months ahead are as busy as ever, preparing for another year of delivering the shows that anchor rural life. This piece shares practical ways to plan trade stands and temporary stables with less friction, stronger coordination and better outcomes on site.
For members of the Association of Show and Agricultural Organisations (ASAO), this rhythm is familiar. The ASAO represents hundreds of agricultural, equestrian and countryside events across the UK. Through this collaboration, its community brings people together to share experience and practical insight so every show continues to thrive.
Understanding what these shows represent
Every show has its own character. However, they share a common purpose – to bring together farming, equestrian sport, food, craft and trade in one place. Each reflects the people and industries that keep the countryside moving.
For many, these events are highlights of the year: moments of connection, competition and pride that rely on months of preparation behind the scenes.
At Woodhouse, our role is to help create the spaces that make those moments possible. For example, that might mean temporary stables where competition horses can rest safely and comfortably, or trade stands and Food Walks that give exhibitors and producers the space to showcase their work. Each project supports the wider purpose of the show – to bring people together and celebrate rural life.
Joined-up delivery in trade stand planning for shows
Effective trade stand planning for shows relies on close coordination – organisers, exhibitors, volunteers and delivery teams all working towards the same deadline.
Our role is to help make that process run as smoothly as possible.
We use clear planning tools and shared schedules. They help our engineering, yard and site teams follow a consistent, efficient sequence.
Our bespoke Event Portal helps organisers and exhibitors confirm layouts and stand details early, reducing administration and supporting timely delivery.
This joined-up approach meant every major build finished on or ahead of schedule, and our teams reinstated each site on time and in full.
It is about discipline, communication and trust… details that make a big difference when deadlines are fixed and space is shared.
Good shows don’t just happen…
They’re built on planning, partnership and respect for the ground they stand on.
Care for sites and the people who use them
Once an event closes, attention turns to reinstatement, leaving the site ready for the next show, season or crop.
That respect for the land runs through everything we do.
We plan vehicle movements to minimise ground pressure. In addition, we reuse materials wherever possible and work with organisers to make sure each site is handed back exactly as we found it.
It is a practical approach that supports sustainability, protecting both the land and the long-standing relationships that make these events possible year after year.
Looking ahead to ASAO
As the sector gathers for this year’s ASAO Conference, attention will turn to how shows continue to adapt, preserving their heritage while meeting new expectations around welfare, safety and sustainability.
Trade stands and temporary stables might not headline those discussions. Even so, they underpin how events look, run and are remembered.
When planning is clear, communication is strong and delivery is precise, everything else follows.
Closing note
At Woodhouse, we work alongside organisers to plan early, build efficiently and protect the sites that host these events.
As preparations begin for the 2026 season, we look forward to reconnecting with many of you at the ASAO Conference.
You’ll find us on Stand 13, and we’d welcome a conversation about how we can support your plans for the year ahead.
